I hold a Bachelor of Paralegal Studies with Honours and have spent six years in offices where confidentiality is not optional: three of them at a Toronto law firm, running the front desk and the client files behind it. I'm bringing that work into healthcare administration and patient services in the GTA.

What I do

Confidential records

Three years handling private client information and documents at a Toronto law firm, keeping them confidential and making sure materials were shared only with authorized parties.

Since 2023, maintaining confidential employee and candidate records in HRIS and applicant-tracking systems, supporting reporting, payroll and attendance tracking.

Front desk and client contact

Reception and registration at a law firm: greeting clients, checking them in and out, booking appointments by phone, and covering a multi-line phone.

At peak, roughly 30 to 60 calls, clients or files in a day.

Complaint resolution in person and on the phone, the part of the desk job where someone is upset and you are the first person they reach.

Scheduling and coordination

Calendar and scheduling management for executives and teams in Outlook, plus interview and meeting logistics across multiple stakeholders.

Coordinating and supporting groups of roughly 6 to 15 people at a time.

End-to-end recruitment coordination at Promax: postings, screening, interview logistics, offer letters and onboarding documentation.

Correspondence and documentation

Drafting letters, emails and formal correspondence for internal and external readers: offer letters, onboarding communications, and firm correspondence.

Data entry and records maintenance in Microsoft Access, SharePoint lists, and HRIS and applicant-tracking systems. 60+ wpm.

  • Maintain confidential employee and candidate records in HRIS and applicant-tracking systems, supporting reporting, payroll and attendance tracking.
  • Coordinate recruitment end to end for warehouse, administrative and sales roles: postings, screening, and interview logistics across multiple stakeholders.
  • Meet with hiring managers to define what each role actually needs, then run the process to fill it.
  • Draft and manage offer letters, onboarding communications and supporting documentation.
  • Work in line with company policy and procedure across hiring and records practice.

Why a law degree on a healthcare page. The degree gave me the framework; three years at a law firm gave me the habit. Sensitive records kept accurate. Procedure followed exactly as written. Documents that go only where they are supposed to go. Correspondence that has to be right the first time, because someone is going to act on it. Hospitals run on the same discipline. The vocabulary is different; the habits are not.

I'm Alexandra Yako, an administrative coordinator in Vaughan, Ontario, with a Bachelor of Paralegal Studies with Honours from Humber College.

For six years I have worked in offices where confidentiality is not optional. Three of those years were at Constantine Law Firm in Toronto, where I ran the front desk, greeting and checking clients in and out, booking appointments and covering a multi-line phone, while handling private client files and making sure documents went only to the people entitled to see them.

Since 2023 I have coordinated recruitment and records at Promax Auto Parts Depot, maintaining confidential employee and candidate data in HRIS and applicant-tracking systems and drafting the offer letters and correspondence that go with it.

My degree is in law. The work underneath it is the same work a hospital runs on: accurate records, exact procedure, discretion, and being the calm person at the desk. That is the work I want to keep doing, in healthcare.
